VILLAGE HALL CONDITIONS OF HIRE

  1. The resident Caretaker is responsible for the general supervision of the premises, except when the premises are hired out, when this becomes the responsibility of the hirer.

    Organisations or individuals, hiring the hall will be held responsible for defraying the costs of making good any damage or loss incurred to the building, floors, fixtures, equipment and fittings during period of hire.

    The HIRER is responsible for switching off the light and locking all doors on leaving the premises.

    IN ORDER TO LIMIT NOISE EMISSION, PLEASE KEEP ALL REAR FACING (BAR-SIDE) WINDOWS AND DOORS CLOSED DURING THE HIRE. PLEASE MAKE EVERY EFFORT TO LIMIT THE NOISE BEFORE, DURING AND AFTER EVENTS ESPECIALLY AT THE REAR OF THE HALL.

    Please report any fault, breakage or damage whether inadvertent or otherwise to the caretaker or a member of the Village Hall Committee as soon as is reasonable.

  2. BOOKING FEES AND CANCELLATION
    All applications for hiring the hall must be made to the Clerk not later than 7 days prior to the event. For cancellation bookings refunds of fees will only be made if 14 days notice is given. Consideration for refunding fees will be given if the hall is re-let for that date.

    Bookings cannot be made more than 6 months in advance.

    Should there be more than one application to hire the hall on the same day and time, the letting will be made at the sole discretion of the Village Hall Committee.

    6 weeks prior notice of Disco must be given, stating in writing the name of the Disco engaged, the timings of the bar applied for and the name of the licensee engaged for the event.

    Booking time must allow for setting up and taking down of equipment (Bar, tables, disco etc).

    As a result of a directive from the Fire Officer, the following maximum attendance figure of 200 persons for Dancing and 100 persons for Tables and Chairs event must be rigidly applied for any function.

  3. LICENCING AND BAR FACILITIES
    Whenever it is proposed to have a Licensed Bar, separate application must be made in writing to the Parish Council via the Clerk to the Council. An additional charge of is payable along with the booking fee in advance for use of the bar area.

    When a Licensed Bar is in force intoxicating liquor must not be obtained elsewhere and brought into the hall. Organisers of functions at which it is intended to have a Licensed Bar will be responsible for ensuring that the necessary permission of the Licensing Justices is obtained and that the permitted hours are adhered to.

    Where mutually convenient between the caretaker and the provider of the bar facilities the Parish Council has no objection to bar equipment etc. being cleared away the following morning to minimise possible noise late at night. (Please note No.5 of Conditions of Hire).

  4. CONDITIONS OF HIRE.
    Whenever the hall is let for a private function no admission charge, either at the door or by ticket prior to the event can be made.

    Whenever the hall is let for a public function the organisation making the booking must appoint at least 5 adult Stewards to maintain good order. For dances and discos a minimum of 8 Stewards must be appointed.

    Stewards at disco or dance must be available to advise on parking of cars.

    No admission after 10.30p.m. to dance or disco.

    Stewards to be re-deployed at end of disco and dance to advise patrons to leave quietly.

    Other hirers are responsible for advising guests to leave quietly after a function. The piano must not be moved without first obtaining permission of the Caretaker, and, if moved, must be replaced after the event by the hirers.

    Bar spillages must be avoided as far as possible, but, if they do occur all liquid must be cleaned up immediately.

    Electric lamps must not be removed, or any fixtures or fittings altered or removed without first obtaining permission from the Caretaker.

    All electrical equipment brought into hall must comply with current safety standards.

    Abusive language is prohibited.

    Motorcycles or Bicycles are not allowed in the premises.

  5. Articles left in the Premises entirely at owner's risk. The Parish Council or the Village Hall Committee, or their Officers or Servants, cannot be held responsible in any way for articles lost, mislaid or stolen, and no application for reimbursement will be entertained.
